WHERE WE OBTAIN PERSONAL INFORMATION

As a recruitment agency and business, we also identify and research prospective candidates who have not previously contacted us. We may obtain professional information from publicly available or professional sources, including professional networking websites, job boards, company websites, publicly available business information and other sources through which individuals make their professional information available. We may also receive information through referrals and recommendations, from clients, former or current employers, referees, other professional contacts and other recruitment-related sources where it is lawful for us to do so. WHO WE SHARE PERSONAL INFORMATION WITH

Our recruitment management and applicant tracking system is provided by Manatal. Candidate and recruitment information may be stored and processed within Manatal as part of our recruitment activities. Indigo Accountancy Ltd remains the data controller for this information and Manatal acts as a data processor on our behalf. We may also use providers of information technology, website hosting, communications, email, cloud storage, professional services and other business systems. We may disclose information where required by law, regulation, court order or a competent authority, or where reasonably necessary to establish, exercise or defend legal rights. If Indigo Accountancy Ltd or its business or assets are sold, transferred or reorganised, relevant personal information may be disclosed to parties involved in that transaction where lawful and appropriate. We do not sell personal information.

INTERNATIONAL TRANSFERS

Some of the technology providers we use process or store personal information outside the United Kingdom. In particular, Manatal stores customer data in the United States using Amazon Web Services infrastructure. Where personal information originating in the United Kingdom is transferred to a country that is not covered by an applicable UK adequacy decision, appropriate safeguards are used as required by UK data protection law. Manatal’s Data Processing Addendum provides for contractual safeguards for international transfers where these are required. Other technology providers may also process information internationally. Where this occurs, we take appropriate steps to ensure that personal information continues to receive the protection required by UK data protection law.

Recruitment relationships may continue for a considerable period. A candidate may remain relevant to future employment opportunities after an individual recruitment process has ended, and our legitimate interest in retaining professional candidate information may therefore continue while there remains a reasonable recruitment purpose for holding it. We periodically review the information we hold. Information that is no longer required for a legitimate purpose will be deleted, anonymised or otherwise securely disposed of, subject to any legal or regulatory retention requirements.
